Using WorkflowManager - Saving or Adding Related Items
General Information
The Documents/Related Items screen allows you to establish
files that are related to a project or template.
The Print to Digital File feature allows you to print/save a
document or report directly to a project's related items
(digital file) from within any software application. The
document is converted to a .PDF file format and securely
stored with the project. A simple click of an insert button
or a drag and drop allows you to add items to a project.
Any type of form or file may be stored with a project as a
related item. Saving the file to the project's related item
establishes the file as a digital item of the project and
makes the form readily available from within the project.
To print/save a document as a project's related
item:
For purposes of this topic we will use a Notepad file (a text
file application on every Windows PC).
- Access the project's details screen.
- Open Notepad (a text file application on every Windows
PC). From the Start menu, select Programs, then
Accessories, and then Notepad. This will create a new
Notepad file.
- Enter information in the new Notepad file.
- From the File menu, select Print and choose
PortalsXpress Digital File from the Select Printer location
in the Print dialog and then click the Print button.
- Verify that the Project radio button is selected and
that your specific project is displayed in the Select
Print/Scan Destination dialog then click OK.
- Return to the Project Details screen that is minimized
on your task bar and click on the Documents/Related Items
tab.
- The document is stored in the specific project's
related items (digital file) as a .PDF file with today's
date as the title.
- Rename the .PDF file by right-clicking on the newly
created file.
To add a document as a project's related item:
- Return to the Project Details screen that is minimized
on your task bar and click on the Documents/Related Items
tab.
- Click on the Insert Digital Item toolbar icon,select an
item of your choice from the list provided and click the OK
button to return to the Related Items screen
- Alternatively you can drag and drop the item of your
choice from an open Windows Explorer directory into the
project's Related Items.
