Saving Items to the Digital File
Once a file or document is imported into the digital file as
a digital item, each time you click the Save icon, the item
updates in the digital file. Once an item is stored in the
digital file, anyone who has permission can access the file
from any location in which the computer they are using has
PortalsXpress installed. For this reason, we strongly
encourage you to take advantage of storing all items to a
digital file. For example, you go out of town on business and
need to do some work on the John Jones file. However, your
assistant also needs to do some work on that same file while
you are away. Since you both have PortalsXpress installed on
your computers, you can both work on items in the file, save
any changes you make, and you can both see the updated items
in the file at any time.
How does this work?
Anything stored in a ContactManager digital file is actually
stored on the PortalsXpress secure servers. This allows you to
securely access any of your client's data from any location.
No longer will you have to struggle with "Where's the file?"

Saving Items to your Computer
If you ever would like to save a copy of a contact's digital
item to your local computer, you will need to use the Export
feature of ContactManager. Exporting a digital item allows
you to work on that item locally while a backup of the
original item is still in the digital file. However, if you
want the updated item saved to the contact's digital file,
you must import the item back into the digital file after you
are finished making your changes (thus replacing the original
item). Simply saving will only save the updated copy to your
local computer.
To export a digital item to a local computer hard drive, do
the following:
- Select the item to export.
- Click on the export toolbar button.
- Select the location where you want the file to be saved
using the "Browse for Folder" dialog box.
- A copy of the item is now saved on the local drive,
while the original item remains in the digital folder until
it is updated or deleted.
