Digital File - Contact Notes
Contact Notes are useful for documenting conversations
with the contact or work done on a contact's file. This way,
if a new employee is hired and assigned the Jones' case, he
or she can review the file, including reading the contact
notes, and virtually pick-up where the last employee left
off.
To add a new Contact Note, do the following:
- Open a contact's digital file.
- Select the Contact Notes folder in the left pane
as your destination folder for the note. A Contact Notes
folder is automatically present in each contact's digital
file.
- Click the New Contact Note toolbar button or use
the right-click menu selection (New/Contact Note).
- Enter the description and contents of the note and
click OK.
When adding a Contact note, there is an option to enter a
Follow-up Date. Adding a date to this field instructs the
PortalsXpress system to deliver an automatic reminder, with
links to this Contact and the Contact Note, to your
PortalsXpress Messenger or by email (the links will only work
if the message is delivered via Messenger).
To have these Follow-Up messages sent via Messenger, make sure
the ContactManager menu's
Send Alerts Via Messenger option
is CHECKED. To have these messages sent to your preferred email
address, UNCHECK this option.
The Contact Note will be saved to the selected folder.
To edit a Contact Note, simply double-click on the
Contact Note to open it, edit the desired fields, and click
OK
