Security - Data Encryption
General Information
The data encryption feature in PortalsXpress provides your
office an added level of security by "encrypting" the
documents stored in ContactManager. For an individual to
access these documents, he or she must insert an Encryption
Key into the USB port of his or her computer. The Encryption
Key will "decrypt" the documents so that you can read
them.
Only the Administrator of the WorkflowCentre Account can
create Encryption Keys. Therefore, once your office decides
to use encryption, the Administrator creates an original
Encryption Key, makes copies of that key for authorized
individuals in the office, and distributes the key to
appropriate office personnel.
Encryption is available only at the digital item level. If
your office has elected to use encryption, each document
stored in any client's digital file is encrypted, meaning, in
order to view the contents of a document, you must have an
Encryption Key. Data Encryption is similar to having a key to
the file cabinet (you can open a digital file and view the
list of stored documents) but not having a key to open the
documents stored in any of the files (you cannot open any of
the documents to view or edit).
Once your office decides to use encryption, every document
saved is encrypted and can only be accessed with the use of
an Encryption Key.
