Getting Started - Document Check Out Checking out documents for edit using PortalsXpress is easy and automatic. Simply double-click a file in DocumentManager. PortalsXpress will automatically check-out the document to prevent other users from making changes to the file and download the document from your account to your local computer for edit. By default, the "Now Checked Out" dialog will appear listing the current files that you have checked out for edit. Any documents that you have checked-out can be modified offline. That is, it's not necessary that you have an Internet connection to your PortalsXpress account to modify the contents of checked-out documents. Simply click on the document hyperlink listed in the "Now Checked Out" dialog. If the document is already open for edit, PortalsXpress will activate the application window. If not, PortalsXpress will start the application with the selected file. When you're done editing the file, simply click the green checkmark to check-in the document. The file will then transfer from your local computer to your PortalsXpress account. For large files, a progress meter will appear. When PortalsXpress has successfully updated the file, the check-out status is changed so that others may access the document for edit. You may also cancel a check-out for a file by clicking the red "X" button. If you do not wish to use the Now Checked-Out dialog to control document check-out, use the "Enable 'Now Checked-Out' Dialog" selection (Note: Requires access to ContactManager via the Contact Edition). By using this election, PortalsXpress will automatically upload and check-in the modified document when you exit the application containing the document. However, we recommend that you use the "Now Checked Out" dialog to manage your files. |
