Getting Started - Adding a New File Let's go through an example of adding our firm's
employees. We are the partners in a small CPA firm that does
write-up and tax work. The employees in the various
departments are as follows:
Writeup
Tax
Administrative
Let's go ahead and add these individuals into Resource Manager. First, click on the Your Departments folder. Since this is a small CPA firm and we don't really have any large departments, we'll just add the firm as a department. Click on the New Department icon . Once you do that, a new department will be added with the name highlighted. Type in Jones and Sample, CPAs. Next let's add the Groups that work for the CPA firm. Click on the Jones and Sample, CPAs department that you just created. Then click on the New Group icon. A new group will be added with the name highlighted. Type in Partners. Do the same thing for Writeup, Tax and Administrative. Now let's add the individuals who work in those different groups. Click on the Partner group and then click on the New Resource icon . A New Resource dialog will appear. You can either create a new member account for PortalsXpress for this individual or select an existing PortalsXpress member from your Messenger member block. For these, we will want to add new PortalsXpress members so type in the first name (John) and last name(Jones) and choose a member name(johnjones) and password(trains) for John Jones. Do the same thing for each of the names making up member names and passwords. To enter the contact information for each resource, you can now highlight each resource name and click on the Contact Info tab. You can also click on your ContactManager tab and highlight each resource and enter their contact information. It's that easy to set up your resources in PortalsXpress. Once you've done that, you can start using workflow templates to start automating your workflow processes. NOTE: After you have completed this tutorial you will want to delete these entries. You can do that by clicking on the resource, department or group name. Right mouse click and choose Delete. |
